We are looking for a proactive and highly organised Knowledge Coordinator to join our growing team. This is an exciting opportunity for someone passionate about knowledge management, collaboration and continuous improvement to play a key role in ensuring critical business information, best practice and lessons learned are captured, maintained and shared effectively across the business.

As Knowledge Coordinator, you will help drive a culture of knowledge sharing by supporting project teams, operational functions and business leaders to access, manage and utilise information that enhances decision-making, efficiency and service delivery.

Key Responsibilities

Knowledge Management & Information Sharing

  • Develop, maintain and improve knowledge management processes and systems across Smartspace.
  • Coordinate the collection, organisation and publication of business-critical information, case studies, lessons learned and best practice guidance.
  • Ensure knowledge repositories, SharePoint sites and collaboration platforms remain current, accessible and user-friendly.
  • Support the development of a structured approach to document management and information governance.
  • Promote effective knowledge-sharing behaviours across teams and functions.

Content Development & Administration

  • Create, edit and maintain content including procedures, guidance documents, templates and process maps.
  • Ensure documentation is accurate, consistent and aligned with company standards and branding.
  • Support teams in capturing project successes, innovations and operational improvements.
  • Monitor and review content regularly to ensure relevance and compliance.

Stakeholder Engagement

  • Build strong relationships with operational teams, project managers, business improvement specialists and subject matter experts.
  • Facilitate workshops, meetings and knowledge-sharing sessions to capture expertise and lessons learned.
  • Provide guidance and support to colleagues on knowledge management tools and best practices.
  • Act as a central point of contact for knowledge-related queries and requests.

Reporting & Continuous Improvement

  • Track knowledge management activities, usage metrics and engagement levels.
  • Produce regular reports and insights to identify opportunities for improvement.
  • Support business improvement initiatives by identifying trends, common challenges and areas for greater collaboration.
  • Contribute to the development of innovative approaches to knowledge sharing and organisational learning.

About You

We are looking for an individual who combines excellent organisational skills with a passion for collaboration, communication and continuous improvement.

Essential Skills & Experience

  • Previous experience in a knowledge management, information management, project coordination, business support or administrative role.
  • Strong document management and content coordination experience.
  • Excellent written and verbal communication skills.
  • High level of attention to detail with strong organisational abilities.
  • Experience using Microsoft 365 applications, particularly SharePoint, Teams, Word, Excel and PowerPoint.
  • Ability to manage multiple priorities and work effectively to deadlines.
  • Strong stakeholder management and relationship-building skills.
  • Experience identifying process improvements and implementing effective solutions.
